How to search old WhatsApp voice notes
You know someone told you the price in a voice note. You just cannot remember when, and chat search will not find a word that was spoken.
Search in WhatsApp, Signal and Telegram is built for typed messages. A voice note is audio, so the words inside it are not what the search box looks through. To find something said in a note, most people scroll to roughly the right week and replay notes until they hear it.
That is fine for one note. It does not work when voice notes are how your clients, suppliers or family actually talk to you.
Option 1: replay and hope
Open the chat, scroll to about the right date, and play notes at double speed. It costs nothing and wastes the most time. It also fails completely if you have deleted the chat or changed phones.
Option 2: transcribe them one by one
WhatsApp's own transcripts, or sharing each note to an AI app, will give you the words. But each transcript lives where you made it, one note at a time. Nothing builds into a record you can search later, and AI apps send the audio to their servers.
Option 3: keep a private archive with InkSaid
InkSaid transcribes every voice note on your own Mac and, on Pro, keeps the words in a private archive filed by person and chat.
- Save the voice note on your Mac, AirDrop it, or share it from your iPhone.
- InkSaid picks it up on its own and transcribes it on your Mac.
- The words are filed under the person who sent them.
- Months later, type "delivery" or "price" and see every note where anyone said it, with the date and the sender.
The archive stays on your Mac. Nothing is kept on our servers, and you can delete any note, or everything, at any time. The private archive is rolling out to founding members first.
Tips for a useful archive
- Bring notes in the day they arrive. Turn on automatic pickup so you never have to remember.
- Teach it names. Add people and companies to the word list once, in the form
Right spelling = wrong spelling, so search finds them. - Import whole chats. For an older conversation, export the WhatsApp chat with media and drop it into InkSaid to transcribe the lot.
