Voice notes at work: keep track of what was said and promised

In much of Asia, Latin America and the Middle East, business runs on WhatsApp voice notes. The problem is not the format. It is that nothing said in them is easy to find again.

Voice notes are how a lot of real business gets done. A supplier confirms a shipping date. A client changes the spec. A contractor says the part will arrive Thursday. Three weeks later, nobody can find the note, and everyone remembers it differently.

The cost of voice notes you cannot search

  • Listening twice. You replay a four minute note to find one number.
  • Lost commitments. Dates and prices said out loud never make it into an email.
  • Language gaps. A note in Indonesian or Vietnamese waits until someone has time to translate it.
  • Arguments later. "I never said that" is hard to settle without the exact moment.

A simple routine that works

  1. Turn every work voice note into text the day it arrives. On a Mac, save it and InkSaid picks it up. On iPhone, share it to InkSaid, from anywhere.
  2. Paste the important ones where the work lives. The project note, the order, the email thread.
  3. Reply in writing when it matters. Copy the transcript with a reply prompt into Claude and draft an answer that confirms the date or price.
  4. Keep it private. Client and supplier notes stay on your own Mac in InkSaid's private mode.

What InkSaid adds next

These features are rolling out to founding members first:

  • Three line summary. Long notes open with the point, then the full words underneath.
  • Reply in your voice. A draft reply in your style and in their language. Indonesian in, Indonesian out.
  • Promises, with receipts. Who said they would do what, by when, with the exact moment in the audio one tap away.
  • Your private archive. Every voice note kept on your own Mac, filed by person and chat, in order and searchable.
  • Daily digest. One page each morning with every voice note you got, the point of each, and what you were asked to do.
  • Whole chat import. Drop a WhatsApp chat export and get the full conversation in writing.

For teams

Business plans add a shared inbox for a company number, who said it by contact, and the record: every transcript timestamped and fingerprinted so it can be exported and checked later. Admin controls, a deletion log and a data processing agreement come with it, so a whole team can work from the same written record. Contact [email protected].
